A business with four people may have more than four addresses. If sales@ and invoices@ are missed in the migration plan, staff can log into their new mailboxes while enquiries and invoices still go to the wrong place.
Inventory the current setup
List user mailboxes and their sizes, shared addresses, aliases and forwarding rules. Find out who can manage your domain’s DNS. Note other systems that send as your domain, such as the website contact form, scanner or invoicing software.
Microsoft’s IMAP migration copies email messages. Contacts, calendars and tasks need a separate plan. Check whether anyone also has an archive kept only on their computer.
Test one mailbox before the switch
Set up the destination mailboxes before you change the MX record that routes incoming mail. If practical, test the migration with one mailbox first. Agree when the switch will happen. Afterwards, test sending and receiving from an external address and check shared mailboxes, phones and website forms. Keep the old service available until those checks are complete.
What affects the work involved?
Mailbox count is a starting point. The amount of email, shared addresses, calendars, device setup and timing all matter. For an initial estimate, tell us your current provider, the number of mailboxes and what needs to work when the team next signs in.
Send us the name of your current email provider, the number of mailboxes and a suitable time to switch. We can then discuss what the migration involves. Request an email migration quote · See business pricing
