Moving company email to Microsoft 365? Check these things first

List the messages, addresses and calendars you need to keep, then test the move with one mailbox.

A company with four staff may have more than four mailboxes. For example, invoices@ may reach several people, and a scanner may still send documents through the old email provider. Write those down before the move.

Before the move

  1. List every address. Note who reads messages and who needs to reply from each address. Include addresses that only forward messages, as well as website forms and scanners that send email.
  2. Agree what needs to move. List old messages, contacts, calendars and tasks separately. An IMAP migration transfers mail from email folders. Contacts, calendars and tasks need a separate plan.
  3. Pick a test mailbox. Check whether old messages and folders arrive in the new mailbox. Try it on a computer and a phone. Agree when the domain settings that route incoming mail will change and who will make the change.

On the day

Send a test message from an outside address to one employee and to a shared address such as invoices@. Check that the right people receive the messages and can reply. Test the website form or scanner if you use one. Keep the old service available until you have checked the transferred mail and confirmed that new messages flow correctly.
